What Your Audience Doesn’t See: Inside a Live Telephone Town Hall

Your audience hears a smooth, confident conversation. Questions flow naturally. Polls pop up at just the right moment. The host sounds relaxed. Nobody stumbles.

What they don’t see is the platform handling the tech, with a real person behind the scenes making sure everything stays on track.

Here’s a look inside an Access Live telephone town hall – and the system that makes effortless events possible.

BEFORE YOU GO LIVE

Every Access Live event begins well before the first participant joins.

Each person on your team – hosts, moderators, screeners – has their own unique dial-in number and a dedicated event PIN. Only approved team members can access the backend, keeping the event private and fully controlled from the start.

Before the event goes live, you’re connected directly with a dedicated Event Specialist. Together, you confirm audio quality, review your run of show, walk through timing and transitions, and handle any last-minute questions. When everything is ready, they count you down.

Then you’re live.

Behind the Scenes During the Event

Once your event begins, your audience experiences one thing. Your team experiences something else entirely.

From the backend interface, you have complete visibility in real time – how many participants are on the line, who’s dialed in, and how engagement is tracking as the event unfolds. Your team communicates through a private internal chat, invisible to participants, coordinating transitions and decisions without interrupting the flow of conversation.

Your Event Specialist stays with you throughout, monitoring the event and available to adjust on the fly – whether that means tweaking a poll, managing a transition, or troubleshooting something unexpected. You’re never managing the event alone.

How Audience Interaction Actually Works

Access Live events are built for participation, not just broadcasting.

During the event, hosts can invite the audience to engage in several ways:

  • Press *3 to enter a screening room and ask a question
  • Press *6 to submit contact information – email address, mailing address, or whatever info you want to collect
  • Press *0 to transfer to a live operator or a donation opportunity outside the event
  • Press a keypad number to respond to a live poll – results update in real time as responses come in

Polls can be run multiple times throughout the event, and your team can monitor results as they happen.

The Question Screening Process:

Some hosts prefer the structure of a screened queue. Others want to take questions live, directly from the audience. Access Live supports both options, so the flow of the call is completely up to you.

When a participant presses *3, they don’t go live immediately. They enter a private screening room where a screener speaks with them one-on-one, collects their name, town, and question, and enters the details into a form within the interface.

Those submissions flow into a queue your team can review in real time. You decide which question is strongest, who goes next, and when. When you’re ready, the host introduces the caller – “John from Springfield, what’s your question?” – and the team unmutes them seamlessly.

If someone disconnects while waiting, they’re automatically removed from the queue. No dead air, no awkward pauses.

AFTER THE EVENT

When the event ends, the work it did doesn’t disappear.

Detailed post-event reporting shows you who asked questions, how participants responded to each poll, and engagement patterns that can inform your follow-up outreach, including Decantr text campaigns. A telephone town hall isn’t just a moment in time – it’s a measurable engagement tool with data you can actually use.
